[Microsoft Outlook] Backup PST files With Personal Folders Backup

Backing up your data on a regular basis is one of the best practices i have written about multiple times on this blog. Today, i will introduce you to yet another interesting utility from Microsoft which can be used to backup your PST files and prevent yourself from the embarassment of losing that important business communication, just because you deleted the PST and its not recovering either.

Personal Folders Backup creates backup copies of your .PST files at regular intervals, in Outlook 2002 and later versions, making it easy to keep all of your Outlook folders safely backed up. 

With Personal Folders Backup, you can choose which of your .PST files you wish to back up, and how often you wish to back them up. Each .PST file contains all of your Outlook folders, including the Inbox, Calendar, and Contacts. You can have a single .PST file (usually called “Internet Folders” or “Personal Folders” in your Folder List), but you might also have an additional .PST file that you use for archiving (“Archiving Folders”). Personal Folders Backup lets you back up any or all of these .PST files.

The tool provides a quick and easy way to back up the Outlook information of your choice to your hard disk or network server or share.

After you back up your information, you can copy these duplicates of your Outlook data to a removable media such as a CD or DVD. The backup files are exact copies of the original files and are saved in the same file format.

In order to get started with Personal Folders Backup tool, download and install the add-in from here

In order to start with the backup, you must ensure that the .PST which you want to backup is open. As a quick check,If the file is visible in Folder List, it is open.

1.) From Microsoft Outlook, On the File menu, click Backup.

2.) Click Options.

3.) In the Backup these personal folders files list, select the check box for each item you want to back up. 

4.) Change the .pst file name shown. Or, to select a different folder, click Browse, navigate to the location you want, and then click Open.

It must be noted that the default file name and location where the .pst file is saved is shown in the File location box.

5.) To have Microsoft Outlook automatically remind you to make a backup copy of this file, select the Remind me to backup every x days check box, and then type the number of days between 1 and 999.

6.) Click OK.

7.) Click Save Backup.

In my opinion Personal Folders Backup is a great add-in which allows for easy backup of your PST files.

  1. I always make backups of all their documents, including letters. But sometimes you want to remove outlook duplicate, so I have a question. Is there a formal addition to Outlook, which has this functionality? Thank you for your reply.
